What does completions paperwork actually cost your project?

Enter your own scope and rates. The calculator estimates the hours spent moving records between paper, spreadsheets and folders — and what recovering that time is worth. Every assumption is editable and every calculation is shown.

    Your scope

Defaults are illustrative — replace them with your figures.

Everything that carries at least one inspection or test record.

A-ITRs, B-ITRs and C-ITRs combined. Three to four is common on process scopes.

    minutes

Transcribing into the register, scanning, filing, chasing signatures, reconciling copies. Excludes the inspection itself.

    USD / hour

Average cost per hour for the people doing that admin, including overhead.

Used to estimate dossier assembly, which scales with certificate boundaries.

    hours

Collating, indexing and QA-checking the evidence pack behind each certificate. Set to 0 if a third party does this.

    hours / week

Time spent each week merging discipline or contractor trackers into one reported status.

    months

Months from first ITR to final handover.

    %

A scenario input, not a promise. Model something conservative first — 50% is a cautious starting point, 70% assumes evidence is captured once at source.

    The estimate

Admin cost over the project, as it runs today

    US$386,549

    4,548 hours across 18,000 records

    Recoverable at 70% reduction

    US$270,585

    3,183 hours — about 85 person-weeks, or US$15,032 per month

    Record handling
    18,000 records × 12 min
    3,600 h
    Dossier assembly
    120 subsystems × 4 h
    480 h
    Register consolidation
    6 h/week × 18 months
    468 h

    How this is calculated

    • Records = tags × records per tag
    • Record handling hours = records × admin minutes ÷ 60
    • Dossier hours = subsystems × hours per subsystem
    • Consolidation hours = weekly hours × 4.33 × months
    • Cost = total hours × loaded hourly rate
    • Recoverable = cost × reduction %

These are your assumptions, modelled transparently. They are not measured Deskely customer results and should be treated as a planning estimate.

    Questions about the model

Where do the default assumptions come from?

Every default in this calculator is an editable assumption, not a measured result. The admin minutes per record cover transcription from paper or PDF into the register, scanning and filing, chasing missing signatures and reconciling duplicate copies. Replace each default with your own figures — the maths is shown in full so nothing is hidden.

Does this include the handover dossier effort?

Yes, as a separate line. Dossier assembly is estimated from the number of subsystems and the hours typically spent collating, indexing and QA-checking documents per subsystem. Set that figure to zero if your dossier is produced by a third party.

How accurate is the saving percentage?

It is a scenario input, not a promise. Digitising evidence capture removes transcription and re-filing rather than the inspection work itself, so the realistic range sits between partial and near-total elimination of admin handling. Model a conservative figure first, then send us the result and we will work through your actual record mix.

What does Deskely cost against this?

Pricing is published on our pricing page, including the free tier. Compare the monthly admin cost this calculator produces with the plan that matches your user count to see the balance for your own project.
