    The problem

    New-build schools are frequently commissioned against a single non-negotiable date, while university projects add the complication of phased handover across a campus that stays open throughout.

    A refurbishment squeezed into a six-week summer holiday window has no slack: any delay in commissioning shows up as pupils in a building with an untested fire alarm.

    Deskely models each building, block and phase separately, so a construction manager can see exactly which classrooms, labs and circulation routes are proven and which are not, well before the holiday ends.

    Setting up the register

    Buildings, blocks and room types are structured to match how occupancy actually phases.

    Classrooms, laboratories, sports halls, dining and boarding areas are grouped by building and block, each with a pre-functional and functional checklist suited to that room type.

    MEP plant, BMS points, fire alarm, access control and AV/IT infrastructure sit as their own subsystems, since they frequently belong to different contractors than the fit-out trades.

    Drawings and room schedules are parsed into that structure, so a phased handover plan can be generated directly from the register rather than built separately in a spreadsheet.

    Execution

    Checkout runs against the calendar, not against an assumed sequence.

    Pre-functional checks and functional performance testing are captured room by room on tablet, with laboratory rooms carrying their own extended checks for fume extraction, gas services and emergency showers.

    Fire alarm and life safety cause and effect testing is scheduled and evidenced per block, since occupied and unoccupied blocks cannot always be tested the same way.

    Punch is categorised by whether it blocks occupation of that specific block, so partially finished areas do not delay blocks that are genuinely ready.

    Handover and occupation

    Each block is handed over on its own record, so the rest of the campus keeps moving.

    Practical completion is issued per building or block from signed records, with life safety proven first and any interface with an occupied part of the campus explicitly checked.

    The facilities team receives O&M manuals, BMS graphics and settings per block as it is handed over, rather than a single bundle at the end of the whole scheme.

    Outstanding defects are carried into the defects liability period with an owner and a date, tracked against the same block record rather than a general end-of-project list.
