Equipment list template: free Excel equipment register for projects
Deskely Completions team Singapore
An equipment list is the register of every major item of equipment on a project: vessels, pumps, compressors, heat exchangers, switchboards, transformers. It ties each tag to its P&ID, system, location, vendor and datasheet, and is where completions starts.
This page gives you a free equipment list template in Excel and PDF and explains the columns that matter for completions.
- One line per tag, with the tag exactly as it appears on the P&ID.
- System and subsystem columns make the list usable for completions.
- Link each item to its datasheet, vendor and purchase order.
- Keep it under revision control: it changes with every design revision.
The columns
| Column | Why it matters |
|---|---|
| Tag and description | The identity of the item, matching the P&IDs and datasheets. |
| Equipment type and discipline | Decides which inspections and tests (ITRs) apply. |
| System and subsystem | Where the item sits in the commissioning breakdown; see mechanical completion. |
| P&ID and location | Where to find it on the drawings and on site. |
| Vendor, PO and datasheet | Who supplies it and the data it must meet. |
| Rating, power and weight | Used for electrical loads, lifting and structural checks. |
| Status | Ordered, delivered, installed, mechanically complete, commissioned. |
The template

Four example lines show the format. Instruments, valves, lines and cables usually have their own lists: the instrument index, valve list, line list and cable schedule. Together they make up the tag register.
From lists to one register
On a large project these lists hold tens of thousands of tags and are typed, largely by hand, from the P&IDs and single line diagrams, then kept in step with every revision.
Deskely Extract reads the P&IDs and isometrics in a package and builds the tag register with each tag's type, system and subsystem, for an engineer to check; Deskely Delta shows what each new revision changes.

Frequently asked questions
What is an equipment list?
A register of every major item of equipment on a project, with its tag, description, type, system, P&ID, location, vendor, datasheet and status.
What is the difference between an equipment list and a tag register?
The equipment list covers major equipment. The tag register covers every tagged item: equipment, instruments, valves, lines and cables.
Who maintains the equipment list?
The engineering contractor during design, then the project and completions teams through construction and handover.
Is the template free?
Yes. Download the Excel or PDF version and adapt it to your project.
